Non-artistic event Types
This rental category covers a range of event types including parties, showers, weddings, meetings, AGMs, public seminars, political debates and fundraisers, and anything else that isn't related to the arts. If you are unsure please contact us. We realize this is a very broad category, but the rules are the same whether it is a small meeting, or a large wedding.
NON-Artistic EVent Fee Structure
The main determining factor of the cost of a rental in the Hall is the number of hours needed for the event. Other factors that vary the rental rate are the day of the week, month of the year, and time of day (business hours vs. evening during the week and morning vs. afternoon vs. evening on weekends only). We rent for a minimum four-hour block, and the price for that (outside of business hours) ranges from $441.25 plus HST to $730 plus HST based on when it is. General discounts are not available for charitable and nonprofit organizations as that is most of our rental base. Arts organizations receive a discount because supporting them fits within the Heliconian Club's mandate. We keep that range of pricing, based on the timing variables to allow for flexibility with the rate by varying the time of the booking. The rates are generally non-negotiable. The two exceptions are serial bookings of four or more events (ie. quarterly meetings) and successful applicants to our rental sponsorship outreach program (click here for details), which is open to anyone, but preference is generally given to artistic endeavours. All non-artistic bookings are subject to a $25 Capital Improvement Fee per event, that the Club puts in reserve for repairs that benefit Hall users, audiences and renters, like the recently purchased bench cushions.
The basic event rental package includes four hours on the day of the event, from access to exit. It also includes two complementary hours of weekday, daytime rehearsal/planning, subject to hall availability, and usually booked no more than two weeks in advance of the rehearsal/planning time. For weddings this is usually used for a ceremony rehearsal or seating arrangement planning. Additional hours for the event time are available for $105 per hour. Additional rehearsal/planning time is available at the rehearsal rate on the Concert and Artistic Rentals page. The rental includes use of the piano (if needed), tuned monthly. Tunings specifically for an event are available at cost ($180 plus HST), but must be booked in advance. It also includes use of the lighting system, though if any cues other than on and off are wanted, someone from the event will need to operate the board, as staff is not provided for that.
